COMMERCIAL REPAIR CLOSEOUT

Show what changed.
Name what remains.

A useful closeout record tells a facilities team what was observed, what work was completed, what the final condition was, and who owns any next step. Published by Masterline Facilities as general operating guidance; updated July 28, 2026.

ANSWER-FIRST CLOSEOUT

Close the work order only after the completed scope, final condition, evidence, exceptions, and next owner are visible.

WHAT THE SERVICE COVERS

The minimum useful closeout record.

Keep the record factual. Do not use a completion note to hide unresolved work or assume a cause that was not verified.

01

Reported condition

Restate the observed problem and affected asset or area without adding unsupported conclusions.

02

Work completed

List the actual tasks performed and the components or areas involved.

03

Final condition

State whether service was restored, the condition was stabilized, or the issue remains open.

04

Visible evidence

Attach safe before, during, and after photos when they clearly support the written record.

05

Exceptions

Name access limits, excluded scope, unavailable parts, follow-up needs, or conditions that could not be verified.

06

Next owner

Assign estimates, approvals, monitoring, return visits, or other follow-up to a named role.

WHEN TO ESCALATE

Do not close work that still needs escalation.

A closed status should not replace emergency procedures, qualified judgment, or a clear warning about unresolved risk.

HOW MASTERLINE WORKS

Clear next steps from intake through closeout.

01

Compare

Match the original intake record to the work and final condition.

02

Document

Save concise notes and only the evidence needed to support the closeout.

03

Hand off

Assign each unresolved item before changing the work order to closed.
