COMMERCIAL REPAIR EVIDENCE

Make the note match the photo.
Make the result easy to verify.

A useful repair record connects the reported condition, visible subject, work performed, final condition, and next owner. Published by Masterline Facilities as general operating guidance; updated July 29, 2026.

ANSWER FIRST

Use evidence that shows the serviced asset and supports the written record. A generic photo from the same visit is not proof of the documented problem or result.

WHAT THE SERVICE COVERS

The six-part evidence packet.

Keep the record factual, necessary, and safe to share with the people responsible for the work.

01

Reported condition

Name the affected asset or area, the observed condition, and the operating impact without guessing at an unverified cause.

02

Subject photo

Show the serviced asset clearly enough that a reviewer can identify what the note describes.

03

Work evidence

Use a during-work photo only when it helps explain the documented task, access point, removed condition, or installed component.

04

Completed result

Show the same asset or area after the work when the visible result supports the closeout.

05

Exceptions

Record access limits, excluded scope, unavailable parts, unresolved conditions, and any follow-up that still needs approval.

06

Next owner

Assign every estimate, approval, return visit, monitoring task, or customer decision to a clear role.

WHEN TO ESCALATE

Stop before the record creates a second problem.

Do not attach or publish private, sensitive, unclear, or unsupported material merely because it exists in the work order.

HOW MASTERLINE WORKS

Clear next steps from intake through closeout.

01

Match

Compare each photo with the reported condition and technician note.

02

Reduce

Keep only the evidence needed to explain the work safely and clearly.

03

Close

State the verified final condition and assign every remaining action.
